Citizens for the Protection of Waquoit Bay (“CPWB,” “we”) runs this tool to coordinate volunteer storm-drain monitoring across Falmouth and Mashpee, Massachusetts. This page describes what data we collect, how we use it, who we share it with, and the choices you have.
What we collect
Account information. When you sign up, we collect your email address. Magic-link sign-in does not require a password. You may also choose to add a display name and a phone number to your profile. We only use the phone number if a coordinator needs to reach you about a drain you've adopted; we do not share it with anyone outside CPWB.
Volunteer activity. When you adopt a drain or log a measurement, we record:
- The drain's location (latitude/longitude and street address)
- The depth-to-debris measurement you submit
- Any photo you upload, including the photo's GPS metadata if present
- Any notes you add to a drain or measurement
- The date and time you submitted it
Role. If you take on a coordinator or admin role, we record that role assignment and the date.
Technical data. During your visits we collect browser type, IP address, and pages viewed through our hosting (Vercel) and error-tracking (Sentry) providers. This helps us diagnose problems.
How we use it
Your data powers the tool: adopted drains show on your dashboard, measurements feed coordinator reports to the towns' Departments of Public Works, and notifications keep you informed about your drains. We use technical data to operate, maintain, and improve the tool.
We do not sell your data. We do not use it for advertising.
Who we share it with
We share data only with the operational service providers that run this tool:
- Supabase — database and authentication (privacy policy)
- Vercel — application hosting (privacy policy)
- Resend — email delivery (privacy policy)
- Sentry — error monitoring (privacy policy)
- OpenStreetMap (Nominatim) — address lookup when you submit a drain. We send only the coordinates you placed (privacy policy).
We share aggregate, non-identifying drain and measurement data with the Falmouth and Mashpee DPWs in scheduled reports. We never share your individual identity with the towns.
We may share data when required by law (subpoena, court order).
How long we keep it
We keep your account and the drains you've adopted as long as your account exists. If you delete your account, we delete or anonymize your personal data; the measurements you submitted may be retained as part of the historical record, with your identity removed.
Your choices
- Access: Sign in, then visit your profile to see your account data and the drains you've adopted and measured.
- Update: Edit your name and notification preferences from your profile.
- Delete: Email info@protectwaquoitbay.org to request account deletion. We respond within 14 days.
- Email preferences: Manage them from your profile. Unsubscribe links in each email also work.
Cookies
We use session cookies to keep you signed in. We do not use tracking, analytics, or advertising cookies.
Children's privacy
This tool is intended for users 13 and older. We do not knowingly collect data from children under 13. If you believe a child has provided us data, contact us at info@protectwaquoitbay.org and we will delete it.
Changes to this policy
We may update this policy when we add new service providers or change how we handle data. The “last updated” date at the top will reflect changes. For material changes, we'll notify users by email.
